The challenge
A two-day corporate conference in Pleasanton put 650 attendees into three hotels across the city, with morning arrivals, midday movements and evening returns to the conference center. The organizer needed one transportation partner accountable for the whole program — not a patchwork of rideshares and hotel shuttles — with a single point of contact and no attendee left behind.
The plan
True Elegance SF Bay built a ten-vehicle shuttle program mixing executive shuttles and coaches, sized to the expected wave at each hotel. Routes ran continuous loops between the three hotels and the conference center during peak windows, with staged backup vehicles in Pleasanton so a traffic slowdown on I-580 or I-680 never became a missed keynote. Chauffeurs walked each hotel pickup zone before the first run, and the client received a written run-of-show covering every departure.
Dispatch coordination
Both days ran under live dispatch. Our dispatchers tracked every vehicle by GPS, stayed in two-way contact with all ten chauffeurs and held a direct line to the event's transportation coordinator. When a session ended early, loops were re-timed in real time; when an evening reception ran long, return service was held and extended. Guest shuttles between hotels, ceremony and reception
A Tri-Valley wine country wedding needed guests moved from partner hotels to the ceremony, on to the reception and back again at the end of the night — with nobody driving after celebrating.
